Marketing & Database Coordinator

Ostrow Reisin Berk & Abrams, Ltd. (ORBA), one of Chicago’s largest accounting firms, seeks a Marketing & Database Coordinator to work closely with the firm’s various industry groups and to maintain the firm’s database.  The Marketing and Database Coordinator will assist and collaborate in the planning, development and implementation of a variety of marketing and business development projects and programs to achieve the firm’s marketing and business development objectives, as well as provide training, support and maintenance of the firm’s contact relationship management (CRM) database, ContactEase.  Candidates will be required to take a written test.

Position Summary:

  • Work proactively with the firm’s industry groups to manage, implement and execute industry group marketing and business development plans and initiatives 
  • Serve as primary point of contact for initiating, directing and providing business development and marketing support to the firm’s industry groups
  • Work with groups to produce and update all print and online marketing materials
  • Work closely with groups to plan, execute and initiate follow-up in regard to activities such as seminars and networking events
  • Facilitate organizational/professional affiliations that drive business development
  • Conduct and manage ongoing research of prospective targets industries and markets to keep the groups up to date on industry trends, as well as to proactively identify opportunities for growth and implement programs to achieve desired growth
  • Engage in research and analysis and competitive intelligence-gathering for strategic planning and business development activities
  • Assist with firm’s ongoing and monthly CRM database maintenance (duplicates; returned mail, etc.) and general reporting
  • Provide ongoing CRM training to CPAs and staff to utilize the system
  • Generate contact and usage reports from the CRM system
  • Oversee and manage CRM system enhancements to support the firm’s marketing and business development efforts
  • Extrapolate CRM information for various marketing initiatives, including firm events and seminars, conducting research, tracking and reporting business development opportunities and efforts
  • Work with information systems department to resolve CRM technical issues
  • Develop and implement data change management procedures for CRM users

Qualifications:

  • Bachelor's degree in marketing, communications or related field required
  • Minimum of two years of previous marketing/business development experience in a professional services environment preferred
  • Familiarity with the services provided by a certified public accounting firm
  • Ability to work effectively under pressure, prioritize workload, exercise independent judgment when necessary and solve problems quickly.
  • Must be detail-oriented, organized, have excellent written and oral communications skills, and a strong client service orientation.
  • Proficiency with applicable software packages: Word, PowerPoint, Excel.  ContactEase or other CRM knowledge a plus.

Staff Accountant

Position Summary:

The Staff Accountant will work very closely with assigned small business clients and be a key resource for them.  You get to meet each month in-person or via video conference with entrepreneurs who are trying to change the world!  Red Granite, an ORBA company, is an accounting firm based in downtown Chicago located in the NBC Tower. They work with high-growth companies.

Essential Job Functions:

This will be a client-facing role, so you must be good at interacting with people. You will eventually be assigned about four clients that you'll work with on a daily & weekly basis. Duties and tasks include:

  • Enter and maintain all accounts receivable
  • Enter and code accounts payable and credit card transactions
  • Process payroll
  • Perform bank reconciliations
  • Reconcile and maintain balance sheet accounts
  • Work with you manager on the client's budget and cash flow
  • Prepare monthly financial packet with assistance from a manager and present the packet to your clients
  • Maintain organized digital files

Education and Experience:

  • Understanding of accounting principles and practices
  • Two years previous accounting experience
  • Proficiency in QuickBooks
  • Proficiency in Excel.

  • Outstanding written, interpersonal and presentation skills

Audit Senior

Position Summary:

The Audit Senior is responsible for overseeing audit, review and compilation engagements and is responsible for resolving most accounting issues that arise during these engagements under the guidance of the Audit Manager and or the Audit Director.   The individual will perform some engagements with minimal supervision and will direct staff and instruct them in the work to be performed, review the work completed by the staff and direct necessary revisions.  

Essential Job Functions:

  • Supervising the work of audit staff including reviewing their work and provide on the job training
  • Conduct basic, specialized and complex financial, operational and compliance audits under the direction of the audit director.  
  • Perform risk assessment prior to the beginning of an audit engagement. 
  • Prepare the most complex work papers, to adequately document accounting & audit work performed and to support the conclusions reached. 
  • Prepare draft of financial statements and management letters.  Will be expected to wrap up the engagement in a timely manner. 
  • Perform reviews and compilations
  • Report progress of the audit, compilation or review engagement to both Audit Manager and Audit Director regularly
  • Perform audit or review procedures as assigned by the Audit Managers or Audit Director
  • Conduct research, prepare memorandums and summarize findings
  • Demonstrate ability to assume responsibility for supervision of the daily fieldwork of engagements and client contact 
  • Prepare very complex individual, trust and business tax returns
  • Prepare an evaluation of the staff on the engagement at the end of the engagement but give guidance to the staff when necessary during the engagement. 
  • Perform other miscellaneous duties and special projects as assigned.

Education and Experience:

  • B.S. in Accounting or Finance
  • CPA preferred
  • 3-5 years of progressive accounting & audit experience in public accounting
  • Minimum of 1 year leading audits
  • Experience preparing tax returns is a huge plus
  • Experience with for-profit and non-for-profit clients

Tax Senior

Position Summary:

Responsible for organizing and coordinating clients’ tax data for the accurate, timely completion of individual tax returns and all levels of corporate, partnership, S-corp and trust tax returns.

Essential Job Functions:

  • Review tax information submitted by client for completeness; meet/call clients with questions
  • Possess knowledge of tax regulations in order to answer clients’ questions
  • Prepare individual, corporate, partnership, trust and S-corp tax returns of various complexities
  • Prepare amended returns of any variety and complexity
  • Prepare personal tax projections
  • Perform tax research projects
  • Perform other duties as may be assigned

Education and Experience:

  • Bachelor’s degree in Accounting required
  • Minimum of  2 years of tax experience
  • Hold current CPA license or has passed parts of the CPA exam
  • Experience preparing individual, corporate and partnership tax returns are required
  • Experience preparing trusts, 990s and 5500s are a plus
  • Multi-state tax experience is a plus

Skills:

  • Strong communication skills, both oral and written
  • Proficiency with Microsoft Office in particular Excel and Word
  • Proficiency with GoSystem or ProSystem required
  • Ability to demonstrate sound judgment and analyzing problems logically and comprehensively, distinguishing between relevant and irrelevant information
  • Ability to work effectively in a team environment as well as independently
  • Ability to handle sensitive/confidential matters in a tactful and discreet manner
  • Ability to interface with a variety of management levels

 
Accounting Services Staff

Position Summary:

The Accounting Services Staff is responsible for processing assigned client engagements within the department in a cost-effective and professional manner including, but not limited to, computer-compiled financial statement engagements, outsourced Controller services, QuickBooks support and payroll tax/sales tax reporting issues. 

Essential Job Functions:

  • Process financial statements and all related payroll, sales and business tax returns personally assigned within the Accounting Services Department
  • Assist clients with individualized accounting needs and tax compliance
  • Prepare payroll and sales tax returns and annual W-2’s and 1099’s
  • Prepare bank reconciliations monthly, if needed
  • Research accounts payable and accounts receivable issues as needed.
  • Assist Directors with initial client visits for prospective Accounting Services clients
  • Assist Directors with tax planning or special client projects
  • Assist new or existing clients with business start-ups
  • Maintain daily record of time spent on engagements
  • Assure timely turnaround of assigned and supervised engagements
  • Travel to clients and access to an automobile is required

Education and Experience:

  • Bachelor’s degree in Accounting or equivalent
  • 4+ years of bookkeeping and accounting experience, public accounting experience a plus

Skills:

  • Very strong knowledge of QuickBooks software
  • Strong communication skills, both oral and written
  • Advanced proficiency with Microsoft Office, in particular Excel and Word
  • Ability to function in a team environment
  • Ability to interface with a variety of management levels
